Scheduling Playbooks

Schedule Playbooks to run daily, weekly, or monthly. Configure time zones, monitor run history, pause schedules, and manage limits by plan tier.

Schedule your Playbooks to run automatically at regular intervals. Wake up to fresh analysis without lifting a finger.

Schedule Options

Manual Only

Run Playbooks on-demand:

  • Click "Run Now" when needed
  • Best for occasional analysis
  • Available on all plans

Daily

Run every day:

  • Set specific time
  • Good for daily metrics
  • Requires Pro plan or higher

Weekly

Run once per week:

  • Choose day of week
  • Set specific time
  • Good for weekly reports

Monthly

Run once per month:

  • Choose day of month (1-28)
  • Set specific time
  • Good for monthly summaries

Monthly schedules use days 1-28 to avoid issues with months of different lengths.

Setting Up a Schedule

New Playbook

  1. Create your Playbook
  2. In the schedule section, choose frequency
  3. Select day/time as needed
  4. Save the Playbook

Existing Playbook

  1. Open the Playbook
  2. Click Edit
  3. Update the schedule settings
  4. Save changes

Time Zones

Schedules run based on your account time zone:

  1. Go to Profile Settings
  2. Set your time zone
  3. All schedules use this time zone

Set your time zone correctly to ensure Playbooks run when expected.

Schedule Best Practices

Choose the Right Time

  • Daily reports: Early morning (6-8 AM) - Pro/Max only
  • Weekly summaries: Monday morning
  • Monthly reports: 1st or last business day

Allow for Data Updates

If your data source updates at specific times:

  • Schedule Playbooks after data refreshes
  • Leave buffer time for processing
  • Account for time zone differences

Stagger Multiple Playbooks

If you have several scheduled Playbooks:

  • Space them apart by 30+ minutes
  • Prioritize critical reports earlier
  • Avoid scheduling all at the same time

Monitoring Scheduled Runs

Run History

View all past executions:

  1. Open the Playbook
  2. Click Run History
  3. See status, time, and results

Run Status

Error Notifications

When a scheduled run fails:

  • Error logged in run history
  • Details available for troubleshooting
  • Email notifications (Pro and Max plans)

Managing Schedules

Pause a Schedule

Temporarily stop scheduled runs:

  1. Open the Playbook
  2. Click Pause Schedule
  3. Resume when ready

Change Frequency

Update how often it runs:

  1. Edit the Playbook
  2. Select new frequency
  3. Save changes

Delete Schedule

Remove automation but keep the Playbook:

  1. Edit the Playbook
  2. Set frequency to "Manual"
  3. Save changes

Troubleshooting

Playbook Didn't Run

  • Check schedule is enabled (not paused)
  • Verify time zone settings
  • Review run history for errors
  • Confirm plan supports scheduling

Wrong Time

  • Check account time zone setting
  • Verify schedule configuration
  • Account for daylight saving changes

Missed Runs

  • Playbooks don't "catch up" on missed runs
  • If the system was unavailable, run skips
  • Manually run to get latest results
